The StFX Students’ Union is looking to hire an Events Lead for the 2026/27 school year.

Events Associate

  1. The Events Associate will be responsible to assist the VP Campus Affairs in the planning, development and execution of large and small events for the Students’ Union. This includes but is not limited to: Orientation Week, weekly events for the Golden X Inn, SuperSub’s, X-Ring and Graduation events.

  2. The Events Associate will be responsible for picking up event riders, transporting artists to and from the venue, pick up hotel keys, and other duties as assigned.

  3. The Events Associate may be asked to plan specific events at the request of the VP Campus Affairs, or other events for Student Executive Board members.

  4. The Events Associate will be responsible to work with industry professionals and campus stakeholders in the planning and execution of Students’ Union events.

  5. The Events Associate may be responsible to hire Event Staff to assist in the set up and take down of various Students’ Union events.

  6. The Events Associate may be responsible to assist in providing appropriate event training to other members of the Students’ Union such as society presidents.

  7. The Events Associate will be responsible to be at designated Students’ Union events as the Primary Event Organizer.

  8. The Events Associate must have a valid driver’s license and produce a driver’s abstract with no major infractions for the previous 12 months.

  9. The Events Associate must track Event Staff hours for each pay period and submit them to the Students’ Union Operations Manager.

  10. The Events Associate will attend Student Orientation Committee meetings as a non- voting member.

  11. Other duties as assigned.

Board Of Directors | Deputy Chair

  1. The Deputy Chair shall act as the recording Secretary of the Board.

  2. The Deputy Chair shall remain neutral on all matters brought before the Board of Directors, and during all elections.

  3. The Deputy Chair will carry out the Chair’s duties in their absence.

  4. While carrying out the duties of the Chair, the Deputy Chair will observe and adhere all policies and guidelines that the Chair would normally adhere to.

  5. In the event that the position of Deputy Chair becomes vacant, the Chair shall assume the duties of the Deputy Chair until such a time when another Deputy Chair is selected in a process determined by the by-laws and policies of the Union.

  6. The duties of the Deputy Chair will be determined from time to time by the Board.

This is an honorarium position

JOB DESCRIPTION

  • DriveU is a student drive-home service that operates 7 days a week, providing StFX students with a safe ride home after studying, coming to campus, or visiting the Golden X Inn.

  • Drivers will typically work on average 2 times a week, with shifts ranging from 4 to 6 hours. Should be noted that the DriveU service only operates at night time, making for great student job.

  • All drivers will be accompanied by another driver during their shift and will split up driving duties.

Generals – Position Description

OCREW generals are an essential part of the OCREW team! As a general, you are responsible for welcoming and introducing incoming students to STFX life. You represent the Xaverian spirit and are the first friendly face upon arrival at campus. The OCREW team encourages building strong relationships amongst students and supports them not only through the first week but through the academic year. If you’re HYPE about STFX, a strong believer in INCLUSIVITY, and want to make a difference in WELCOME WEEK, then the OCREW general position IS FOR YOU!!!

Chill Points Committee

Committee members are mandated to calculate spirit points for each house throughout Orientation Week. Committee members are to be divided amongst each residence based on the number of Incoming Students enrolled. Members of the Chill Points Committee shall abstain from all partisanship for the duration of Orientation Week.

Run n’ Gun Committee

Committee members are mandated to connect with Incoming Students and Parents during Welcome Days. Members of Run n’ Gun must actively participate in all other activities, events and O-crew initiatives as mandated, this includes but not limited to:

a. Welcome Day Tunnel and Welcome Day Operations

b. Cheer-Off

c. Aiding with effective running of various stations at Orientation Week events.

Hype Committee

Committee members are mandated to continuously motivate O-crew and Incoming Students throughout Orientation Week as told executives and/ or Co-Chairs. This committee is responsibilities include, but are not limited to:

a. Participating with Incoming Students on Academic day.

b. Participating in the road welcome for Incoming Students arriving by vehicle on Welcome Day

Shinerama Committee

Committee members are mandated to plan and execute Shine day, which occurs in the third or fourth Saturday of September with a day of fundraising for various local charities with Incoming Students. This committee is responsibilities include, but are not limited to:

a. Upholding the responsibilities of Charity Committee throughout the summer and Orientation week, including but not limited to fundraising initiatives, spreading awareness, contributing to the goal of each chosen charity.

Perma Committee

Committee members are mandated to motivate and connect Incoming on-campus Students and ensure they feel comfortable and welcome on campus. Committee members are to be divided amongst each residence based on the number of Incoming Students enrolled. This committee is responsibilities include, but are not limited to:

a. Attending House meetings for their respective residence they are placed in. Leading their placement house to and from Orientation Week events alongside the Spirit Leader(s) of the house.

b. Working alongside EBAE

c. Abstaining from all partisanship for the duration of Orientation Week.

d. Ensuring all members are actively involved and participating in activities as well as upholding responibilites and appropriate conduct.

e. Participate in Welcome Tunnel.

EBAE Committee

Committee members are mandated to promote equity and inclusivity for all Incoming Students arriving on campus. The Union and Committee members recognize the importance of the diversity in students intersecting identities and representation on campus. This committee is responsibilities include, but are not limited to:

a. Helping facilitate specific events for all , but not limited to: gender identity, gender expression, age, race, ethic or national origin, religion, sexuality, sexual orientation, ability, health, language, size, or socio economic status mandated to motivate and connect Incoming off-campus Students and ensure they feel comfortable and welcome on campus.

b. Working alongside the PERMA and Off-Campus Committees (and any other committee, as needed) to ensure students are aware of all the services offered to them by the Union, Student Life and the University.

c. Attending and promoting the Diversity Engagement Centre’s Community Barbecue.

d. Attending and helping with Community Connections and International Welcome Day.

Off Campus Committee

Committee members are mandated to motivate and connect Incoming off-campus Students and ensure they feel comfortable and welcome on campus. This committee is responsibilities include, but are not limited to:

a. Supporting the Off Campus Leaders.

b. Ensuring Incoming students are aware of what services are offered to them during Orientation Week.

c. Ensuring all members are actively involved and participating in activities as well as upholding responsibilities and appropriate conduct.

d. Participate in the Welcome Tunnel.

e. Shall attend Off Campus house meetings.

  • Support the VP External Affairs and Communications, Executive Board, and SU Marketing Manager with student-facing communications, including social media content, website updates, hiring notices, press releases, and campaign materials.

  • Create and assist with communications projects using with a focus on clear, accessible, professional, and engaging content for the StFX student body.

  • Attend regular Executive Board and Marketing Touchpoint meetings and complete assigned communications projects

Executives – Position Description

1.     The Orientation Week Executive shall assist in the selection of the General Orientation Week Crew. The selection process will consist of a formal application and interview.

  • The formal application and interview process will be created by the Orientation Co-Chairs with consultation and approval from the Vice President Campus Affairs.

2.     The Orientation Week Executive shall attend and oversee the execution of all Orientation Week activities and events, as appointed by the Orientation Week Co-Chairs, including the supervision of General Orientation Crew members.

3.     The Orientation Week Executive will be responsible for attending daily Orientation Crew meetings during Orientation Week to take on any additional tasks for the day, go over the updated internal and external schedules and get the Orientation Crew motivated for the day ahead.

4.     Orientation Week Executive may be selected for any of the following Orientation Week Crew Committees (Orientation Week Executive are required to complete all previous duties as well as the responsibilities for their committee):

  • Hype Committee

  • PERMA Committee

  • Shinerama Committee

  • Run N’ Gun Committee

  • EBAE Committee

  • Off-Campus Committee

  • & Chill Committee

5.     The Orientation Week Executive will be responsible to for the development, maintenance, and effective management of their respective committees their respective committees under the predetermined expectations and responsibilities laid out by the Orientation Week Co-Chairs, and the Vice President Campus Affairs via the Student Orientation Committee.

6.     Other duties as assigned.
